Job Description

Job Summary

The Receiving Clerk is responsible for coordinating and processing all inbound shipments to ensure timely receiving and accurate documentation. This position serves as the primary point of contact for incoming carriers, verifies shipping paperwork, maintains records, and communicates with warehouse personnel to ensure efficient unloading and inventory receiving. The Receiving Clerk also provides backup support for outbound shipping operations and assists with inventory-related activities as needed to support overall warehouse efficiency

Essential Functions

  • Coordinate and manage daily inbound shipment schedules.
  • Check in drivers and verify delivery appointments.
  • Review and process bills of lading (BOLs), packing slips, delivery receipts, and other shipping documents.
  • Ensure all inbound paperwork is complete, accurate, and entered into the warehouse management system (WMS) or ERP system.
  • Communicate with warehouse staff regarding incoming loads and unloading priorities.
  • Resolve discrepancies involving shipment quantities, damaged freight, or missing documentation.
  • Maintain organized files of shipping and receiving records.
  • Monitor inbound load status and communicate delays or schedule changes to appropriate personnel.
  • Coordinate with carriers, vendors, and internal departments regarding shipment issues.
  • Answer phones and emails related to inbound shipping activities.
  • Serve as the backup for the Outbound Transportation Clerk by assisting with shipment scheduling, preparing shipping documentation, and supporting outbound transportation activities during absences or periods of high volume.
  • Assist with cycle counts, inventory reconciliation, and other inventory control activities as needed.
  • Support warehouse operations with additional administrative duties as assigned.
  • Follow company safety, quality, and inventory control procedures.

Qualifications/Requirements

  • High school diploma or equivalent required.
  • Previous shipping, receiving, logistics, or warehouse office experience preferred.
  • Basic knowledge of shipping documents, including Bills of Lading and packing slips.
  • Strong computer skills, including Microsoft Office (Excel, Outlook, and Word).
  • Experience with warehouse management systems (WMS) or ERP software is a plus.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Ability to work in a fast-paced environment and manage changing priorities
