Job Description

Primary Function:

The AP Coordinator manages the AP invoice flow through the office from incoming mail. Duties also include supporting the administrative functions of the facility.

Essential Functions:     

  • The AP Coordinator manages the AP invoice flow through the office from incoming mail.
  • Process approved Purchase Requisitions and communicate Purchase Order numbers to vendors and/or internal buyers,
  • Ensure all paperwork including W-9 forms are obtained and submitted to Corporate for all new vendors.
  • Follow up with appropriate personnel to ensure new vendors are set up in the system before a buyer places an order.
  • Track temp labor hours and processes invoices accordingly
  • Deliver incoming mail each day
  • Maintain office supply inventory and order supplies as needed
  • Back up for Purchasing and Data Processing
  • Reconcile Purchase Order pricing with Invoices and resolves discrepancies
  • Enter major and foreign Purchase Requisitions/Purchase Orders for projects

Special Skills:

  • Must be a self-starter and able to work with little or no supervision
  • Must be proficient in JDE, Excel, Word, AS400 applications, and Ten Key

Work Environment:

  • Office environment

Essential Physical Requirements: 

  • Walking for as much as 10% of workday
  • Sitting to prepare reports and use computer equipment for up to 100% of workday
  • Standing to file for as much as 20% of workday
  • Bending, twisting, reaching and leaning for as much as 20% of workday
  • Talking to communicate with others for as much as 100% of workday
  • Hearing to communicate with others for as much as 100% of workday
  • Using arms to grasp, handle and type for as much as 90% of workday

Education: 

  • High school diploma or equivalent (GED) required
  • Some college preferred

Experience:

  • Three plus years in related field is preferred
  • Combined education and experience may be considered in lieu of education
